How to Perform/Log Maintenance

To be able to Perform/Log Maintenance the work order must first be booked with a date and a maintainer. Please see this help article - How to Book a Date for Maintenance to be Performed

Booked maintenance work orders will appear in the booked table, accessed through the Maintenance Module on the left hand side panel.

Perform/Log One Off maintenance

  1. Open the booked maintenance work order by going to the Booked table and clicking the corresponding arrow.

  2. Click the blue button displayed at the top of the work order that says Perform with the name of the maintenance title.

  3. A dialog will appear asking “Do you want to perform a maintenance or upload one performed outside of the system”. If you are using a custom built checklist click “Perform maintenance”. If you are using a basic maintenance form and uploading evidence click “Upload maintenance performed outside the system”.

  4. Fill out the required form details and click “Complete form”.

  5. The system will ask you to clarify and confirm the date you performed the maintenance on. Enter the date and click submit.

  6. If your maintenance requires a reviewer you will now be asked to assign a user to perform this request. Select from the list of available users, whose permissions have been configured to be able to perform the task and click submit. The form is now submitted for review.

    Step 7 below is not applicable to you.

  7. If you are not required to assign a user for review your form will submit without step 6 above. On submission of the form you will be redirected to the configure maintenance dialogue. If you wish to configure a new maintenance work order for this asset you can do so here. If you do not simply click cancel in the bottom right.

Perform/Log Scheduled Maintenance from plan

  1. Open the booked work order by going to the Booked table and clicking the corresponding arrow to the right.

  2. Click the blue button displayed at the top of the work order that says Perform with the name of the maintenance title.

  3. A dialog will appear asking “Do you want to perform a maintenance or upload one performed outside of the system”. If you are using a custom built checklist click “Perform maintenance”. If you are using a basic maintenance form and uploading evidence click “Upload maintenance performed outside the system”.

  4. Fill out the required form details and click “Complete form”.

  5. The system will ask you to clarify and confirm the date you performed the maintenance on. Enter the date and click submit.

  6. If your maintenance requires a reviewer you will now be asked to assign a user to perform this request. Select from the list of available users, whose permissions have been configured to be able to perform the task, and click submit. The form is now submitted for review. Once approved the next maintenance work order will be scheduled by the system. The maintenance manager will be pre selected however the maintainer will need to be reselected at time of booking.
