Maintenance+ | Pricing, Billing and Managing Seats

Learn about Maintenance+, how pricing works, and how to purchase, assign and manage seats for your team.

What is Maintenance+?

Maintenance+ allows businesses to schedule preventative maintenance, create and manage work orders, assign maintenance tasks and record maintenance activities against their plant and equipment.

Maintenance records, fault information and work order history can also be used to identify recurring issues, review maintenance performance and make informed decisions about ongoing maintenance requirements.

Learn more about how this information can be used in our Maintenance Intelligence article.

How does Maintenance+ pricing work?

Maintenance+ is an additional Aquipa module charged on a per-user seat basis.

Maintenance+ pricing:

  • Monthly subscription: $75.00 per seat, per month.

  • Annual subscription: $900.00 per seat, per year.

Each seat provides Maintenance+ access to one user.
You purchase the number of seats your business requires and assign them to the relevant users in your account. Seats can be reassigned.

For example:

If your business purchases three Maintenance+ seats, you can assign them to three members of your maintenance team.

If one team member no longer requires access, you can remove their seat and assign it to another user without purchasing an additional seat.

You can increase or decrease your purchased seats as your requirements change.

1. Purchasing Maintenance+ seats

To purchase seats:

  1. Navigate to Account Settings > Billing.

  2. Scroll down to the Maintenance section.

  3. Select Add Seats.

  4. Enter the number of additional seats you wish to purchase.

  5. Click Submit.

Once purchased, the seats are available to assign to users.

Note: To access billing you need to be a billing manager. If you do not have this access level you need to contact an administrator in your business.

How will I be billed?

Maintenance+ follows your existing Aquipa subscription billing cycle.

Annual subscriptions

When purchasing additional seats during an annual subscription, you will be charged a prorated amount covering the period until your next subscription renewal date.

At renewal, the purchased seats will be included in your annual subscription at the standard annual rate.

Monthly subscriptions

Additional seats are billed monthly and will appear on your next scheduled billing date.

Your monthly subscription will continue to include these seats until you reduce the number purchased.

2. Assigning Maintenance+ seats to users

Once seats have been purchased, they need to be assigned to the users requiring Maintenance+ access.

To assign a seat:

  1. Navigate to Account Settings > Manage Users.

  2. Select the user you wish to assign a seat to.

  3. Locate the Maintenance+ Member setting.

  4. Toggle the setting On.

Repeat this for each user who requires access.

You can assign seats up to the total number purchased for your subscription.

3. Reassigning a seat to another user

Maintenance+ seats are not permanently tied to individual users.

If a user no longer needs access, their seat can be reassigned to someone else.

To reassign a seat:

  1. Navigate to Account Settings > Manage Users.

  2. Select the existing user.

  3. Toggle Maintenance+ Member Off.

  4. Return to Manage Users and select the new user.

  5. Toggle Maintenance+ Member On.

The seat is now assigned to the new user.

Important: Removing Maintenance+ access from a user does not reduce the number of seats you are paying for. It makes that seat available for another user.

4. Increasing your Maintenance+ seats

If additional users require access, you can purchase more seats at any time.

  1. Navigate to Account Settings > Billing.

  2. Scroll down to Maintenance.

  3. Select Add Seats.

  4. Enter the number of additional seats required.

  5. Click Submit.

You can then assign the new seats through Manage Users.

The additional seats will be billed according to your existing subscription billing cycle.

5. Reducing your Maintenance+ seats

If you no longer require all your purchased seats, you can reduce the number included in your subscription.

Step 1: Remove seats from users

Go to Account Settings > Manage Users and toggle Maintenance+ Member Off for the users who no longer need access.

Step 2: Reduce your purchased seats

  1. Navigate to Account Settings > Billing.

  2. Scroll down to Maintenance.

  3. Select Remove Unused Seats.

  4. Complete the removal process.

Your reduction will take effect on your next billing cycle.

For example, if you currently have three purchased seats and reduce this to two, your subscription will reflect two seats from your next billing cycle.

Frequently asked questions

Do I need a Maintenance+ seat for every user in my account?

No. Seats are only required for users who need Maintenance+ access. Other users can continue using the Aquipa modules available to them without a Maintenance+ seat.

Is Maintenance+ charged per asset?

No. Maintenance+ is charged per user seat rather than per asset.

Can I share seats between different users?

You can reassign a purchased seat between users by removing it from one user and assigning it to another. Each seat can only be assigned to one user at a time.

Will I be charged when reassigning a seat?

No. Reassigning an existing seat does not increase your subscription cost.

If I turn off a user's Maintenance+ access, will my bill decrease?

No. Turning off access makes the seat available for reassignment. To reduce your subscription cost, you must also remove unused seats through Account Settings > Billing.

Can I add more seats later?

Yes. Additional seats can be purchased at any time through the Billing section.
