This guide outlines how to manage assessment work orders in Aquipa, highlighting recent updates that enhance navigation and introduce powerful new features.
Overview:
Assessment work orders are central to managing compliance assessments in Aquipa. Recent updates have streamlined the process and introduced new tools to make it easier for assessors to manage assessments.
Key Updates - Create Work Orders Flow:
There is now a dedicated Assessment tab in the left menu. This is where you want to work from moving forward. (In the past most assessor/ICP's will have worked from the Assessment tab in the Plant table) (See Enhanced Assessment Menu below.)
The Proceed button has been replaced with a Create Work Order button.
When selecting Create Work Order, an assessor can:
Immediately Perform/Begin the assessment.
Schedule the assessment for a future date (optional /not required)
Nominate another assessor from their business to complete the assessment.
UI Changes - Plant Page Buttons Moved:
Key actions from the Plant table (left menu) have been moved into the Assessment tab (left menu) and the Work Order tab (left menu), including:
Perform Assessment - when clicking perform you can then choose a full assessment or a reassessment (if it's the second time onwards)
For reassessment:
Enhanced Assessment Menu (Left hand menu):
The menu has Default tabs: Upcoming (default set at <13 weeks), Overdue and All Assessments.
You can configure Custom Views as well on this table. (See below)
The left-hand menu also features new Filters for assessments:
Assessment Schedule Status - Allows to filter between Scheduled/Unscheduled
Assessment Submission Status - Allows you to filter between Assessments that are Submitted/In Review and those that you have Saved
Show only assessments with open Tasks - tasks that are created by a Reviewer of an assessment. (Assessment still in the review stage)
Show only assessments with open Cases - assessments that have been rejected and require the Assessor/ICP to attend to.
Custom Views:
Create dynamic filters based on dates (e.g., “Due in a week” or “Less than 13 weeks”).
Access the new Upcoming View to display assessments due soon, with filters for: <13 (Default for Upcoming tab), 1 Week, 2 Week, 3 Week, 4 Week
Tasks and Cases Linked to Work Orders:
When tasks or cases are created from an assessment, they now appear on the related work order.
This makes it easier for assessors and managers to track and manage linked items directly from the work order.
New Feature: Internal Review Process
The internal review stage is a new feature that allows businesses to perform an internal review of assessments before they’re shared with clients.
This stage is optional and configurable, meaning it can be turned on or off as needed.
By default, it is turned off for all assessors unless explicitly enabled (e.g., for clients like MTS).
Notification Behaviour:
When a client nominates an assessment, all assessors in the nominated business are notified.
If a specific assessor is assigned to a work order, no notifications are sent—the assignment acts as a label only.
Filtering by Assessor:
You can filter work orders by assigned user, but there’s no direct filter for “assessor” in the assessment interface.
Custom View Filters:
Filters for due dates and statuses have been enhanced.
Dynamic date filters can now be created for upcoming assessments.
