This guide explains how a client can invite a third-party supervisor to scan its supply chain and what the supervisor must do to accept the invitation and begin scanning plant.
Third-party supervisors may need to use Aquipa to check the compliance status of plant entering or operating on a client’s worksite.
Important: only the client can provide access
Only the client that owns or manages the supply chain can invite a third-party supervisor to scan it.
A supervisor cannot search for a client, add themselves to a client’s supply chain or create the connection from their own Aquipa account.
If you are a supervisor who requires access, contact the client and ask them to send an invitation to the email address connected to your Aquipa account.
How the process works
There are four steps:
The supervisor creates or receives access to an Aquipa account.
The client invites the supervisor to scan its supply chain.
The supervisor accepts the invitation from their Aquipa profile.
The supervisor signs in to the Aquipa mobile app and scans plant.
For supervisors: set up your Aquipa account
You must have an active Aquipa user profile before the client can invite you.
If your employing business already uses Aquipa
Ask an administrator from your business to create an Aquipa user profile for you.
Your administrator can refer to Manage Users – Add, Edit and Delete for instructions.
If your employing business does not use Aquipa
To create an account:
Go to the Aquipa sign-in page.
Select Sign Up.
Complete the account setup prompts.
Complete the onboarding process for your business.
Once your user account is active, provide the client with the exact email address connected to your Aquipa profile.
Creating an account does not automatically give you access to any client’s supply chain. The client must still invite you.
For clients: invite a supervisor
To give a third-party supervisor access to scan your supply chain:
Select your Avatar.
Select Configuration Panel.
Go to the Client Groups module.
Select + Invite users to scan your supply chain.
Enter the email address connected to the supervisor’s Aquipa account.
Make sure the email address matches the supervisor’s Aquipa profile.
Send the invitation. The invitation will then become available in the supervisor’s Aquipa account.
For supervisors: accept the client’s invitation
You can only complete these steps after the client has sent you an invitation.
To accept it:
Sign in to Aquipa using the email address the client invited.
Select your Avatar.
Select Account Settings.
Go to My Profile.
Locate the invitation banner.
Accept the invitation.
Once accepted, you will be able to scan plant connected to that client’s supply chain.
You will continue to access Aquipa through your own business account. Accepting the invitation does not make you a user of the client’s business account.
For supervisors: download the Aquipa mobile app
To scan plant onsite, install the Aquipa mobile app on a compatible mobile phone or tablet.

Once the app is installed, sign in using your Aquipa account.
Scan plant in the Aquipa mobile app
After accepting the client’s invitation:
Open the Aquipa mobile app.
Open the left-hand menu.
Select Scan QR Code.
Scan the Aquipa QR code or data matrix code displayed on the plant.
Review the plant details and its current compliance status.

If you need access but have not received an invitation
Contact the client whose supply chain you need to scan.
Provide the client with the exact email address connected to your Aquipa user profile and ask them to invite you.
You cannot grant yourself access or create the connection through your own Aquipa account.
If you cannot see the invitation
Check that:
The client has sent the invitation.
The client used the correct email address.
You are signed in using the invited email address.
Your Aquipa user account is active.
You have checked Account Settings > My Profile.
If the invitation is still not visible, ask the client to confirm the email address and resend it.
