Add and Update Plant Key Documents

Add & manage plant key documents that need to be updated periodically

Description: Add, update and replace Key Documents against your plant and manage documents that may be used across multiple plant.

The Documentation section of a Plant Profile allows you to manage documents associated with that plant.

Use Key Documents for documents that need to be actively managed for compliance, such as registrations, certificates, licences or other documents that may need to remain current.

For more information about how Key Documents work, see Key Documents Explained.

Add a Plant Key Document

  1. Open Plant from the left-hand navigation menu.

  2. Select the plant you want to manage.

  3. Open Documentation from the Plant Profile.

  4. In the Key Documents section, select Add New.

  5. Search for or select the Key Document type you want to add.

  6. Complete the required information.

  7. Upload the document.

  8. Select Submit.

The Key Document will now be stored against that plant.

Update an existing Plant Key Document

Key Documents that have expired may be highlighted in red to help you identify documents requiring attention.

To update a Key Document:

  1. Open the relevant Plant Profile.

  2. Open Documentation.

  3. Find the Key Document you want to update.

  4. Select the three-dot menu beside the document.

  5. Select Update Key Document.

  6. Update the required details, including applicable dates.

  7. Upload the new file or select an existing file from your Account Documentation.

  8. Submit the update.

Update rather than delete

If you are replacing an existing Key Document, use Update Key Document rather than deleting the existing document and creating a new one.

Updating the document maintains its history and helps Aquipa retain the relationship between the Key Document and the areas where it is being used.

Use a document across multiple plant

If the same file applies to multiple plant, you do not need to upload a separate copy for every asset.

You can first upload the file to your Account Documentation:

  1. Select your avatar in the top-right corner.

  2. Open Account Settings.

  3. Go to Documentation.

  4. Upload the file to your Account Documentation.

When adding or updating the Key Document against individual plant, select Choose from Account Documentation and select the existing file.

This allows you to use the same source file where it applies across multiple plant.

Key Documents or General Documents?

Use Key Documents for documents that need to remain current or form part of compliance.

Use General Documents for supporting files, reference material and other records that do not need to be actively managed as a compliance requirement.
