Understanding and managing booking shifts

Learn how Aquipa automatically generates booking shifts from booking dates and times, including shifts longer than 12 hours, and how booking managers can edit, add, delete and assign shifts across multiple services.

Understanding and managing booking shifts

When you create a booking in Aquipa, shifts are automatically generated from the booking’s start date, start time, end date and end time.

The generated shifts provide a starting point. Booking managers should review them and make any changes needed to reflect how the work will actually be performed.

How Aquipa automatically creates shifts

Aquipa uses the start and finish times entered on the booking to create shifts across the booking period.

For example:

  • Booking starts: 10 July 2026 at 10:00 am

  • Booking finishes: 13 July 2026 at 6:00 pm

Aquipa will create:

In this example, one shift is created for each day of the booking using the same start and finish times.

What happens when the shift duration is longer than 12 hours?

Aquipa checks the duration between the booking’s daily start and finish times.

When the duration is more than 12 hours, Aquipa automatically divides it into two shifts of equal length for each applicable day of the booking.

For example:

  • Daily start time: 6:00 am

  • Daily finish time: 10:00 pm

  • Total duration: 16 hours

Aquipa will divide this period into:

These two shifts will be created for each applicable day within the booking period.

When the duration is 12 hours or less, Aquipa creates one shift using the start and finish times entered.

Important: The automatic split creates two shifts of equal length. Review the generated shifts if your actual day and night shift times are different.

Managing overnight and continuous-work bookings

Bookings that run overnight may require additional review.

For example:

  • Booking starts: 29 July 2026 at 12:00 pm

  • Booking finishes: 1 August 2026 at 12:00 am

Because 12:00 pm to 12:00 am is exactly 12 hours, Aquipa will create one 12-hour shift for each applicable date:

However, this may not reflect the actual work arrangement.

For example, the booking may require continuous coverage using alternating day and night shifts:

In this situation, you will need to edit the automatically generated shifts and add the missing shifts.

Important: Always review shifts when a booking runs overnight, requires continuous coverage or uses alternating day and night shifts.

Editing booking shifts

To edit the shifts on a booking:

  1. Open the booking.

  2. Go to the Shifts section.

  3. Select the pencil icon in the top-right corner.

  4. Find the shift you want to change.

  5. Select the three dots to the right of the shift.

  6. Select Edit shift or Delete shift.

When editing a shift, check that the start date, start time, finish date and finish time are correct.

Adding a shift

To add another shift:

  1. Open the booking’s Shifts section.

  2. Select the pencil icon.

  3. Select Add shift.

  4. Enter the shift’s start and finish details.

  5. Save the shift.

This is useful when the booking requires additional day shifts, night shifts or continuous coverage that was not included in the automatically generated shifts.

Managing shifts for multi-service bookings

A booking can include more than one service.

When you add another service to a booking, Aquipa will ask whether you want the new service to inherit the shifts of an existing service.

This can save time when both services are required during the same shifts.

From the shift editing window, each service appears as a separate column. Use the toggle for each shift to control which services are required.

  • Turn the toggle on when the service is required for that shift.

  • Turn the toggle off when the service is not required for that shift.

A shift can apply to one service, multiple services or all services included in the booking.

Use the service toggles to control which services are required during each booking shift.

Before finalising the booking

Review the shifts to confirm that:

  • every required date and time is covered

  • overnight shifts have the correct start and finish dates

  • there are no unintended gaps or duplicate shifts

  • day and night shift arrangements reflect the actual work schedule

  • each shift is connected to the correct service

  • any automatically divided shifts match the required shift structure
