Actioning Tasks from a Sydney Trains Risk Inspection

To action tasks from a submitted Sydney Trains Risk Inspection you need to first be assigned as a Task Manager For Risk Control Inspections.


โ€‹Assign Task Managers For Risk Control Inspections

Only users with permission to access the configuration panel can assign Task Managers For Risk Control Inspections.

To assign go to: Configuration Panel > Task > Click in the "Assign Task Manager For Risk Control Inspections" box and select users from the drop down menu. You can select multiple users.

Notifcations

If there are tasks for you to action from a submitted Sydney Trains Risk Inspection you will be notified via email, the bell notification in the system or push notifications.

To turn on notifications for when a risk inspection is submitted go to:

Account Settings > My Profile > Edit Notifications > Risk Control Inspection > Risk Control Inspection Submitted > Toggle Blue to turn on

Next go to Tasks and toggle on the Notifications you wish to receive. Note Tasks Created must be turned on to be notified of tasks created from a submitted risk control inspection.

Notifications can be sent via email or push notification on a mobile app.

Notifications also appear in the bell notification in the system. To view simply click the icon and click the notification you wish to access.

Viewing Submitted Risk Inspections

The easiest way to view your Sydney Trains submitted risk inspections is via your notifications.

Email: To view simply click on the blue button or the link provided below it

Bell Icon: To view simply click the icon and click on the notification you wish to access. This will open it in the system.

Actioning Tasks from a Submitted Risk Inspection

When a risk control inspection is scheduled a work order is generated.

On submission of the inspection done by Sydney Trains any tasks that need to be actioned by you will appear on the work order.

The easiest way to access this work order is by clicking through from the Submitted Risk Inspections Notification you receive.

As a Task Manager you will be assigned to the Tasks on the work order. To open a task and take action click the eye icon to the right hand side of the task.

The inspectors comments will give instructions on the task information and what needs to be completed.

Once you have completed the task some tasks you can approve and close yourself and others you need to submit for review to Sydney Trains. The button at the top right of the window will indicate this.

If you need to supply evidence of the completed task there is an attach file icon at the top of the window where you can attach documents or image files. There is also a comments field at the base of the task.

If submitting the task for review Sydney Trains will close out the task once they are happy to approve. If they require additional information or evidence they will contact you in the comments section at the base of the task. All Task Assignees will be notified of these comments. Please make sure you have "Task Comments" notification turned on.
